What we collect

We do not ask you to create an account. We process the details you send us and technical information needed to operate and protect the website:

• Contact form. Your name, work email address, company name (optional), the tools you tick, and the admin task you describe.
• Email. If you email us directly, we hold the email and anything you attach to it.
• Spam prevention. Cloudflare Turnstile checks browser and device signals to help distinguish visitors from bots. Our server sends the resulting verification token to Cloudflare before delivering a form submission.
• Server logs. Our hosting provider records standard technical information such as your IP address, browser type, the pages requested and the time of the request. We use this only to keep the site running and to spot abuse.

Please do not put anything sensitive in the form — no passwords, bank details, client data or personal data about other people. A sentence about the task is all we need.

Why we use it

We use your details to:

• reply to your enquiry and book the 30-minute call you asked for;
• prepare and send you a written workflow brief;
• keep the website secure and understand whether the form is being abused.

Under UK GDPR our lawful basis is our legitimate interest in responding to enquiries about our services, and, where you have asked us to contact you, your consent. We do not use your details for marketing lists, and we do not sell or rent them to anyone.

How long we keep it

Enquiry details are kept for up to 12 months from your last message so we can follow up if you come back to us. If we start working together, the details move into our client records and are kept for the length of the engagement and as long afterwards as we need for accounting and legal reasons (typically six years). Server logs are kept by our hosting provider for a short rolling period.

Who we share it with

We share your details only with the providers we need to run the website and reply to you:

• Email delivery provider — used to send the contents of the contact form from the website to our inbox.
• Cloudflare Turnstile — provides the form verification check. We do not include your name, email address or enquiry text in the token verification request. See Cloudflare's privacy policy.
• Hosting provider — serves the website and holds the server logs above.
• Email and productivity tools — the ordinary business tools we use to read and reply to messages (Microsoft 365 and similar).

These providers act on our instructions. Some of them process data outside the UK; where they do, transfers are covered by the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or an adequacy decision. We will disclose your details if the law requires us to.

Your rights

Under UK GDPR you have the right to:

• ask for a copy of the personal information we hold about you (access);
• ask us to correct anything that is wrong (rectification);
• ask us to delete it (erasure);
• object to our use of it, or ask us to restrict how we use it;
• withdraw consent at any time where consent is the basis we rely on.

To use any of these rights, email hello@arasakaai.com. We will reply within one month. If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk — although we would rather you told us first so we can put it right.

Cookies

This website does not set tracking or advertising cookies, and we do not currently run any analytics. The site works without cookies. If that changes, we will update this notice and ask for consent where the law requires it.
